Job description

The Admin III performs a variety of advanced administrative support duties of considerable complexity, requiring a significant level of knowledge of the assigned department, its services, policies, procedures, and operational details; provides administrative support to the VP or Department head and department staff. Coordinates and maintains division budget tracking and reconciliation systems; resolves discrepancies; processes department requisitions and appropriation transfers; Assists with department projects, processes, and / or programs as assigned by the department head; provides assistance to department staff in various and department-related projects.

Responsibilities Include :

  • Prioritizes, schedules, arranges, and maintains appointments, meetings, and calendars. May make travel accommodations.
  • Receives and responds to moderately complex correspondence following established procedures. Solves general problems for customers about department activities, policies or procedures.
  • Answers telephone calls or greets visitors. Answers questions and provides information concerning the department or refers the customer to the appropriate person.
  • Composes memos and transcribes notes. Drafts and modifies moderately complex correspondence; proofreads and edits documents and presentations.
  • Collects, compiles, and analyzes moderately complex information for inclusion in reports and / or presentation materials- Creates and produces a variety of moderately complex documents, reports, or proposals for the department. Prepares charts, graphs, and / or labels as necessary.
  • Performs general office support such as sorting / distribution of mail, copying and faxing documents, filing, and supply inventory.
  • Performs data entry and maintains record-keeping using departmental databases or spreadsheets. Input information such as mailing lists, budget reports, faculty data, etc. into databases or spreadsheets. Verifies information for accuracy.
  • Assist with budget and / or expense reports. Monitors and records department invoices and expenses. May have limited authority to approve requisitions or purchases.
  • May handle one or more projects. May work with or serve on a variety of committees, collect agenda items, prepare and disseminate agendas, and prepare minutes.

Requirements :

An associate's or bachelor's degree preferred.

A strong combination of experience and relevant training can substitute for a degree.

4 to 8 years of office administration experience required.

Annual Security & Fire Safety Report

The federal Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act) requires colleges and universities, both public and private, participating in federal student aid programs to disclose campus safety information and impose certain basic requirements for handling incidents of sexual violence and emergency situations.

Florida Tech’s 2024 Annual Security and Fire Safety Report includes statistics for the previous three years concerning reported crimes that occurred on campus, in certain off-campus buildings or property owned or controlled by Florida Tech, and on public property within, or immediately adjacent to and accessible from, the campus.

The numbers provided include crime statistics reported to local law enforcement agencies, campus security and other Campus Security Authorities.

The report also includes institutional policy statements regarding campus safety and security measures, descriptions of prevention and awareness programs, related university procedures and important guidance, and other essential safety information.

Official Transcripts

Official transcripts of all collegiate work must be sent directly from the attended institution to the Office of Human Resources prior to the first day of employment.
