Overview
Administration Assistant, Facilities & Fleet at dnata. This national support role coordinates the Facilities & Fleet divisions of our commercial catering facility and supports the national Facilities Manager and national Fleet Manager, as well as the Country GM, Facilities, Fleet & Projects.
What does a typical day look like?
No two days are the same. We are looking for someone versatile, flexible and able to think on their feet to support the two divisions and other senior leaders as needed, including reporting, documentation, business registration and compliance filing, and managing invoicing and payments for external contractors and tradespeople across Australia.
Your Main Responsibilities
Your responsibilities in supporting Fleet and Facilities include the following tasks, among others :
Fleet Coordination
- Support lifecycle management of company fleet, vehicles, units, equipment and assets, including capital replacement
- Maintain accurate records, ensure regulatory compliance and servicing schedules
- Raise and track fleet-related work orders; verify supplier invoices for final approval
- Coordinate servicing, repairs, fuel use and other operating costs to optimise resource utilisation
- Build and maintain strong relationships with fleet contractors and service providers
Facilities Coordination
Ensure relevant maintenance plans are applied to all assets as definedMonitor preventative maintenance progress and reactive works completionRaise and track facilities-related work orders, set priorities and provide updatesRecord all works (planned and reactive) against assets, capturing associated costsVerify facilities-related invoices and raise for final approvalPlan and attend meetings involving facilities or fleet, including weekly updatesBuild and maintain strong relationships with facilities contractors and external servicesWhat you need to be successful
Demonstrated success in a similar administrative roleExperience in a busy environment with knowledge of mechanical or electrical worksExperience using asset systems or building maintenance systems is a plusUnderstanding of the supply chain process for specialist service providersAbility to undertake light accounting, invoicing and reconciliation paperworkGood written and verbal communication skills; computer proficiency (MS Excel and Word)Strong organisational and time management skills for self and othersMust be able to pass a mandatory National Police Check due to aviation services industryWhat’s in it for you?
