Job Description
BESIX Watpac is seeking an Executive Assistant to provide secretarial and administrative support to a Senior Executive on a 13-month fixed term parental leave contract.
The key responsibilities of this position include:
- Diary management, proactive email management and travel coordination.
- Managing and screening incoming and outgoing communications.
- Scheduling of meetings and events, including liaising with internal and external clients.
- Coordinate leadership team meetings, including catering.
- Process accounts / invoices and prepare for signing.
- Manage expense claims and credit card reconciliation.
- Other administrative and office management tasks as required.
Qualifications
The incumbent in this role will require the following qualifications and experience:
- Experience in an Executive Assistant role managing senior executives, preferably within a large national or international organisation.
- Demonstrated focus on timeliness, accuracy and punctuality.
- Proven capacity to produce high quality reports and documents in a timely manner for internal and external purposes.
- Advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and ability and willingness to learn new software packages as required.
- Ability to manage shifting work priorities and meet deadlines.
- Professional verbal and written communications skills.
- Proven high level of professionalism and confidentiality in daily work ethic.
