About the College

The Royal Australian and New Zealand College of Obstetricians and Gynaecologists (RANZCOG) is the leading standards body responsible for the training and education of specialists and GP obstetricians in obstetrics and gynaecology in Australia and New Zealand. RANZCOG is committed to the establishment and maintenance of the highest possible standards of practice in women's health and provides programs in training, accreditation and continuing professional development (CPD) that are responsive to the evolving health care needs of women.

RANZCOG supports research into women's health and acts as an advocate for women's healthcare by forging productive relationships with individuals, the community and professional organisations, both locally and internationally.

RANZCOG recognises the special status of Māori as tangata whenua in Aotearoa New Zealand and is committed to meeting its obligations as Te Tiriti o Waitangi partners.

Position : SIMG Administrative Officer

The SIMG Administrative Officer plays an important role in supporting the Specialist International Medical Graduate (SIMG) Lead and Committee in managing processes for overseas‑trained doctors seeking recognition through the College. This includes coordinating application processing, supporting assessment interviews and meetings, monitoring SIMG progress, and ensuring accurate record keeping and communication throughout the assessment journey. This 12‑month fixed‑term position will be covering a secondment position in our training directorate and may require some out‑of‑hours work on weekdays. The College offers time off in lieu and flexible working arrangements at times when out‑of‑hours work is required.

Key Responsibilities

  • Provide clear, supportive advice to SIMGs about application requirements and regulatory impacts on their pathway.
  • Check and verify documentation submitted by applicants and prepare materials for committee and assessor review.
  • Process requests for regulatory advice and maintain accurate records of applications and decisions.
  • Prepare correspondence to applicants outlining outcomes and next steps.
  • Maintain and update databases, decision registers, and SIMG files to reflect current information.
  • Support the SIMG Lead and Committee by preparing agendas, minutes, and follow‑up actions.
  • Keep website content, forms, and regulations up to date to ensure stakeholders have access to current information.
  • Monitor SIMG progress and identify any unapproved or pending experience notifications.
  • Provide information and training to internal staff about SIMG processes and regulation changes.
  • Contribute to continuous improvement initiatives to streamline processes and strengthen communication with stakeholders.

Key Selection Criteria

  • Case management experience, end to end processing applications.
  • Proven experience in an administrative role involving committee and meeting coordination.
  • Excellent communication skills, with the ability to engage respectfully and effectively with doctors from diverse cultural and professional backgrounds.
  • Strong written skills and attention to detail, with experience preparing agendas, minutes, correspondence, and reports.
  • A collaborative approach and the ability to build positive relationships with a wide range of stakeholders.
  • Outstanding planning and organisational skills, including managing competing priorities and meeting deadlines.
  • Confidence in handling detailed information accurately from application through to finalisation.
  • Excellent interpersonal and negotiation skills, with the ability to support positive outcomes under time pressure.
