Job description

Total Tools Mt Waverley is looking for a Full‑Time Accounts Payable / Receivable Assistant to join the team. This position will suit someone who thrives on a high level of customer service in a retail environment with excellent verbal and written communication skills. With a store‑based culture, your skills and experience will be utilised in a fast paced environment with many challenges. A confident and friendly phone manner will complement the existing team who prides themselves on meeting deadlines, constantly being organised and insisting on accuracy.

What will you be doing?

Accounts Payable

  • Process supplier invoices and claims
  • Resolve discrepancies between PO and invoice
  • Strong analytical and investigative skills required to provide solutions where required
  • Prepare payments e.g. weekly, mid‑month and end of month
  • Monthly supplier reconciliations
  • Roll AP ledgers for month end
  • Accounts Receivable

  • Call customers to ensure account is within terms and not a collection risk.
  • Process customer receipts / payments
  • End to end process of new customer account applications
  • Maintain debtor accounts, including credit limits, contacts and account information
  • Send out monthly customer statements
  • Roll AR ledgers for month end
  • Cash drawer / bank Reconciliation

  • Reconciling point of sale transactions daily for all tender types (cash payments, EFTPOS, AfterPay, AMEX etc)
  • Daily bank reconciliations
  • Monitor store cash deposits to make sure they are regularly carried out
  • Follow up any discrepancies with cash drawer / bank transactions promptly
  • Communicate with store managers and assistant store managers to investigate any cash drawer discrepancies

  • Strong computer literacy including proficiency in Excel, Word and Outlook (Microsoft 365)
  • Pronto experience advantageous, but not essential
