Our head office is based in Surfers Paradise, QLD, and you will be responsible for managing and overseeing contract-related matters across our operations in three different cities, primarily serving international students from South America. This role requires close collaboration with internal teams and external partners to ensure all agreements are properly managed, negotiated, and executed in compliance with industry regulations and company standards.
The Contract Administrator will be responsible for drafting, reviewing, and managing contracts with students, schools, and partners, ensuring accuracy, compliance, and clarity across all agreements. This includes negotiating contract terms and variations, handling renewals, extensions, and terminations, and monitoring contract execution to meet deadlines and obligations. The role also involves resolving contract-related issues, reviewing insurance requirements, and maintaining organized and up-to-date documentation. Close collaboration with internal teams and external stakeholders is essential to support operational consistency across multiple locations
Duties and Tasks : Drafting, reviewing, and negotiating contracts and contract variations : Responsible for developing, reviewing, and negotiating agreements with clients (students), educational institutions, and partner organizations, ensuring full compliance with company policies, legal requirements, and applicable regulations.
Analyzing contractual and insurance requirements : Ensures that all contracts meet legal and business standards, including the verification and management of insurance-related clauses as required.
Managing contract-related inquiries and resolving issues : Acts as the primary point of contact for addressing questions and resolving any contractual matters, maintaining positive and professional relationships with clients and partners.
Organizing and maintaining contract documentation : Keeps all contractual records up to date, well-organized, and accessible, ensuring compliance with internal standards and legal obligations.
Monitoring contract execution and managing variations : Oversees the fulfillment of contractual terms, identifies any deviations or required adjustments, and reports on contract changes or modifications as necessary.
Handling contract renewals, extensions, and terminations : Manages the full lifecycle of contracts, ensuring timely and proper execution of renewals, extensions, and closures in accordance with agreed terms.
Preparing and reviewing operational and administrative reports : Produces detailed reports on contract performance, organizational activities, and partner engagement to support strategic decision-making.
The ideal candidate must hold a Diploma or higher qualification in Business, Management, or a related field, or have at least 1–2 years of experience in contract administration and client services. A solid understanding of contractual terms, negotiation, and compliance is essential. Strong organizational skills and attention to detail are required, along with the ability to manage multiple tasks and deadlines. Excellent communication and problem-solving abilities are key. The candidate should demonstrate initiative, reliability, and a proactive approach to managing relationships and documentation.
Given that the majority of our client base communicates in Portuguese, Spanish, and English, fluency in these languages will be highly valued. Strong knowledge of student visa regulations, OSHC requirements, and proficiency in Microsoft Office, Adobe Acrobat, and email platforms is essential. A thorough understanding of CRICOS-registered education providers across Australia, the ESOS Framework, and the rights and responsibilities of international students is also required.
