The APS 4 Executive Assistant reports directly to CIO and is one of the primary contacts that stakeholders will have with the Branch.
We are looking to fill this role within the FWO and to create an order of merit for future vacancies.
Typical DutiesThe duties of this role might include, however, are not limited to :
Triaging workflow and matters requiring action / approvals / reviewWorking as part of a team, including acting as a point of contact between the CIO and their direct reportsDiary management and coordination of travel, meetings, papers and events, including taking minutes for meetings, and performing secretariat functions for working groups and committeesFinancial processing and administration, including travel reconciliations and undertaking purchasing and payment of accounts in accordance with FWO's financial policies and proceduresDrafting basic correspondence as requiredProviding administrative support for the branch including maintaining organisation charts, mailing lists, leave schedules, ordering of stationery and tasks as required.What we are looking forExcellent communication skills (both written and verbal), with the ability to develop and maintain positive working relations with internal and external stakeholdersThe ability to pro-actively undertake a broad range of administrative tasksProven ability to work autonomously, demonstrate initiative, judgement and discretionBe able to problem solve and respond to changing prioritiesHave a high level of attention to detail and possess strong organisation skillsHave a high level of competency in Microsoft Office programs and the ability to quickly acquire proficiency of Technology systems and processes (for example; Microsoft Teams, Customer Relationship Management Systems, SAP or similar etc.).Applicant Information Kit Opens in new window
