Position Summary
The role requires someone who is highly-organised, process-oriented, comfortable supporting senior leadership and can adapt to a changing environment.
Critically, a can-do attitude and problem-solving skills will help this person succeed within the dynamic, team environment where they will need to prioritise multiple activities and manage various stakeholders. Supervise and support the current senior leadership team to complete their tasks efficiently and effectively. Assist to clear the road-blocks by communicating with other divisions effectively.
The role requires someone who can perform a wide range of administrative and is knowledgeable on all office support activities for not only the VP but the leadership team to facilitate the efficient operation of the business division. Importantly, they will be required to learn Samsung's systems and processes to ensure the team is supported.
This position is employed by our Samsung partner agency on a 12 months contract basis. It is not directly employed by Samsung Australia.
Role and Responsibilities
VP & LT Support
- Manage the diary of the Vice President and align with senior members' diary.
- Schedule and coordinate meetings, appointments, workshops, and trainings for VP and other senior team members
- Arrange complex domestic and overseas travel bookings; raise internal travel approvals
- Booking of transfers for VP working with the EA on the schedule of the company driver
- Liaise with external stakeholders on sponsored travel and events coordinating all logistics
People & Culture
Organize all logistics and plans for annual conferences and events and ensure expenses are within budgetCoordinate team building events and R&R eventsDrive compliance across teams to ensure adherence to policy and proceduresCommunication & Office Management

Experience & Qualifications
Minimum of 4 years of Team or Executive Assistant / Office Manager experienceIdeally to have working experience at a medium to large cooperate levelExperience in all relevant administrative duties and ad-hoc tasksKnowledge of clerical and administrative procedures and systems such as filing and record keepingExceptional of planning and organizing skills and able to priorities conflicting tight deadlinesAble to be adapt and have a flexible mindset with a customer service orientation approachFocus on teamwork and building strong stakeholders relationships cross-functionalExcellent in both written and verbal communication skills
