Finance and Operations Coordinator

Job descriptionManage accounts, payroll, budgeting, reporting, and audits Ensure compliance with accounting standards and regulatory requirements Administer research grant financial agreements and liaise with research stakeholders Coordinate external audits and fulfil reporting obligations Coordinate annual research grant rounds and other awards Support stakeholders in maintaining and refining grant documentation Track grant budgets and oversee the research project pipeline Be the primary contact for the external IT provider Support staff with IT issues and ensure cyber security compliance Oversee user access, backups, antivirus protection, and system updates Provide high-level support to the CEO, including Board / sub-committee papers and minute‑taking Manage travel and accommodation bookings as needed Identify workflow efficiencies to improve team operations Work alongside the Fundraising and Communications Officer (who handles data entry and donations) Maintain accurate records and support the smooth operation of the team Experienced in financial management, reporting, and payroll (preferably not‑for‑profit) Self‑starter, problem solver, and leader with initiative, discretion, and maturity Thrives in a small, mission‑driven team Strong organisational and stakeholder communication skills Relevant tertiary qualification in finance, accounting, or business (or equivalent experience) Proficiency in Xero and Microsoft Office Suite Charitable sector experience is desirable Some out‑of‑hours work and interstate travel may be required Lead a high‑impact role in a small, passionate team Make a direct difference in funding research that can change lives Flexible hours may be considered for the right candidate – your impact is what matters most We offer a competitive salary package reflective of skills and experience
