Executive Assistant, GM Community Services
THIS POSITION IS BASED IN DARWIN, NORTHERN TERRITORY
About the Role
We’re looking for a confident and highly organised Executive Assistant to support our General Manager of Community Services at our Darwin Support Office. In this pivotal role, you’ll be the engine that keeps the GM’s office running smoothly by managing schedules, coordinating high-level meetings, streamlining communications, and handling sensitive matters with discretion.

Responsibilities
Provide high level governance, organisational and administrative support to the GM Community Services and Executive Team as required.
Provision of secretariat duties as & when required
From time to time, the EA to the GM Community Services will be required to both manage and assist with assigned projects
Management of the Chair and Deputy Chair diaries and expenses; and travel arrangements as required
Manage, prioritise, screen and gate keep the diary, email inbox, phone calls, meeting preparation and travel arrangements for the GM Community Services
Manage the process, timetable, minute taking and travel for GM Community Services, Board Members & other key stakeholders for key management meetings, training and workshops, including the preparation of papers and minutes and organisation of attendees
Prepare expense reconciliations, purchase orders, and receipt invoices for the GM Community Services
Delivery of special projects as advised by the GM Community & / or CEO
Prepare agendas and take minutes for meetings that are chaired by the GM Community Services and other meetings as requested.
Coordinate team events in the Darwin Support Office as advised by the GM Community Services and the CEO
Manage and prioritise the diary, email inbox, and meeting preparation for the ALPA Chairman & Deputy Chairman as required
About you
Previous experience in an Executive Assistant role
Experience in providing high level support to senior executives, understanding their needs and anticipating requirements
Highly developed Microsoft office Suite Skills
Proficiency using Project Management tools
Experienced in tracking expenses & coordinating travel plans
Experience with assisting with project planning, coordination and execution
Ability to understand the broader goals of the organisation and align administrative support to these objectives
