Job description

The occupant of this role will help to ensure the smooth running of our office administration, including undertaking specific financial functions and providing support to the management team.

  • Duties Include
  • Taking meeting minutes and following up action items across the team.
  • Organising meetings (physical and virtual), calendar invitations, booking meeting for rooms, accommodation and facilities as required for the Board, Regional Secretaries and Churchill Fellows Association Presidents.
  • Data entry (including Salesforce, MYOB) to update and maintain records and accounts, processing invoices, and contact lists as well as generate reports as required.
  • Assist with preparation of budgets and cashflows, provisioning for end of year accounts, support audit preparation and FBT return.
  • Assist with management and renewal of the Trust's insurance policies.
  • Organise building security and cleaning / maintenance contracts (acting as the primary point of contact).
  • Manage the Trust's collection of books, memorabilia and artworks including regular valuations.
  • General office management such as ordering stationary and other office equipment.
  • Providing administration support to Senior Management including assistance with internal policy development, researching Trust history, and drafting letters.
  • Qualification, Experience and Knowledge Required
  • Office and financial administration experience, able to complete complex

administrative tasks with mínimal supervision.

  • Demonstrated competency with a contemporary office IT environment, including.
  • proficiency with Microsoft Word, Outlook, PowerPoint, Excel and SharePoint.

  • Knowledge and experience in using MYOB (or Xero) for bookkeeping.
  • Excellent written and verbal communication skills.
  • A strong research aptitude and attention to detail.
  • Ability to multitask and prioritise projects.
  • Customer service oriented.
  • Relevant qualifications, such as a certificate in business administration would be preferred but not necessary (experience will be taken into account).
