ABOUT THE ROLE
YouthCARE is seeking an exceptional and highly experienced Executive Assistant to serve as the right-hand to the CEO. This full-time position is integral to providing outstanding, professional, and highly confidential administrative support to the CEO and the Board. As a proactive and enthusiastic Executive Assistant, you will take absolute ownership of this role and manage every aspect of the day-to-day operations, contributing to the seamless coordination of meetings, events and communication across the executive suite.
Key Responsibilities include :
Calendar & Diary Management – proactively manage the CEO’s schedule, prioritise appointments and coordinate meetings to maximise time efficiency and avoid conflict.Communication & Correspondence Management – As the primary contact for the CEO's office inquiries, handle various forms of communication such as providing responses to emails, drafting and editing correspondence and ensuring timely and accurate communication within agreed criteria.Meeting Support – Coordinate and oversee the preparation of meetings, technology, materials and resources to support all CEO and Board meetings effectively.Travel Coordination – Plan and coordinate all aspects of the CEO’s travel, including bookings, accommodations, logistics and run sheets.Financial Administration – Manage and reconcile the CEO’s credit card transactions, ensuring accuracy and compliance.Event Planning & Coordination – Plan, organise and manage executive and board events, including logistics, catering, guest management and event communications.Project Support – Assist the Manager – Office of the CEO (MOCEO) in managing CEO projects, deadlines and strategic initiatives.The above list is not an exhaustive list of duties. Ideal Skills
Have :
A personal commitment to promoting the ethos and values of Christianity (practising Christian is desirable).A formal qualification in Certificate IV or higher in business administration management, or other related degrees.Previous experience (minimum three years) in an executive support role.Comprehensive skills in Microsoft Office Suite, excellent word processing and IT skills, including software packages and a high level of computer literacy.Flexible and adaptable skills when dealing with a fast-paced environmentExcellent communication and interpersonal skills, with the ability to build strong relationships with internal & external stakeholders.Outstanding organisation, high attention to detail, ability to prioritise and excellent time management skills.High level of prudence and emotional intelligence to build solid relationships with stakeholders.Professional demeanour demonstrating a “can-do” attitude and enthusiasm for the work involved in the role.Ability to :
