About the roleTake this incredible opportunity to work beside a highly established Executive Director that has a long standing history in the hotel industry. This role will see you work with a highly motivated outgoing collaborative person that will keep your days busy and fulfilled.
If you live in the Eastern Suburbs you will be close to the new work space they are taking on to assist him as he takes on a new joint venture. There will be flexibility to work from home when he is travelling or if you are not attending meetings or digitally transforming anything that may still be paper based.
Critical is your MS office skills as there will be a lot of PowerPoint presentations, Excel reporting and agenda preparation, briefs, meeting schedules and itineraries.
This is a role for a highly motivated individual that can work autonomously, has a proven track record in being able to prioritise urgent matters and work with extremely sensitive and confidential information, but still is hungry to learn and have fun on the way.
Key responsibilities :
Providing Coordination support to the Executive Director and being the first point of contact as required.Managing the extensive Client Relationship Database and building relationships with internal and external clients.Preparing and formatting high quality presentations, worksheets, charts and reports.Managing the day-to-day logistics of schedules with a key focus on diary management in outlook.Organising, coordinating, confirming, cancelling meetings from all different time zones.Prepare agendas, provide briefs, and distribute pre-meeting resources.Attend meetings, taking minutes and putting together action items to follow up as required.Planning and organising travel and accommodation bookings.Coordinating a range of internal / external events.Drafting correspondence and responding to queries on behalf of the Executive Director as appropriate.Maintaining personal banking and accounts details on accounting platforms.Reviewing documents on behalf of the Executive DirectorManaging confidential and sensitive information with discretion and confidentiality.Preparing expense reimbursement claims and reconciling credit card payments of expenses.3+ years continuous experience as an EA supporting C-level executives.Living locally would be advantageous.A high level of energy, passion, and positive outlook in a fast-paced environmentAbility to be agile and adaptable to work with ambiguity at timesExperience in handling confidential and sensitive information.Highly organised and strong time management skillsAbility to build, maintain and strengthen existing client relationships with external and internal clientsExceptional verbal and written communication skills and a sharp eye for detailAdvanced MS Outlook and Office Suite skills with a flair for designing exceptionalPowerPoint presentations.An adaptable mindset and can-do attitude is a must for this role.resume in WORD format.
