Manage and maintain the executives' schedules, including appointments, meetings, and travel arrangements.
Facilitate and manage Board cadence and rhythm, ensuring timely cooperation from all stakeholders
Schedule and coordinate internal and external meetings, ensuring all logistics are arranged including weekly Executive meeting and monthly Senior Leadership meetings
Attend meetings, take detailed minutes, and follow up on action items.
Assist with special projects, research, and initiatives as directed by the CEO and COO.
Track progress on key initiatives and provide regular updates to the executives.
Oversee the organization and maintenance of executive office files, records, and databases.
Handle confidential and sensitive information with the utmost discretion.
Act as a liaison between the executive office and internal / external stakeholders.
Ensure timely and accurate dissemination of information from the CEO and COO to relevant parties.
Prepare and distribute executive communications, including newsletters, memos, and announcements.
Build relationships with all levels of the business and act as a central point of coordination within the business for executive business activities, meetings and events including stewarding meeting schedule and agenda for monthly Senior Leadership Meeting and weekly Executive meeting.
Arrange domestic and international travel itineraries, including flights, accommodations, and transportation for all of the Executive team
Build and maintain relationships with key stakeholders, both internally and externally.
Assist in the coordination of executive team events and functions.
Experience as a C-Suite Executive Assistant.
Worked with and supported senior professionals / executives in a similar role.
Exceptional written and verbal communication skills with the ability to build rapport at a senior level.
Able to clearly articulate effectively at an executive level and be highly intuitive and proactive.
Able to exercise a high degree of integrity while maintaining executive level confidentiality.
Confident in preparing and managing legal and financial documentation.
High attention to detail, maintain a flexible and resourceful approach to effectively multi-task and manage workload.
Advanced skills in Microsoft Office Suite or G-Suite.
