The Executive Assistant (EA) provides a high level of professional administrative and secretarial support to the Chief Executive Officer (CEO).
The EA will be responsible for management of the CEO's communications, diary, meeting coordination, report preparation, travel arrangements, workflow and following up actions delegated.
To succeed in this role, the EA must demonstrate high level communication skills, writing skills, initiative, discretion and confidentiality.
This role reports to the CEO and is located in our central office in Rivervale. This role offers a flexible working environment with a mix of working from home and the office.
Your duties will includeEnsure all opportunities to provide administrative support to the CEO are met in a timely and professional manner.Anticipate the needs of the CEO and take steps to meet those needs.Advise the CEO of matters requiring personal attention, with associated deadlines, and preparing relevant documentationProvision of relevant documentation for meetings attended by the CEO, including provision of briefing papers, if required.Identify matters requiring attention and action or refer them to the appropriate person in the absence of the CEO.Action matters appropriately in the absence of the CEO.Preparation of proposals, reports, spreadsheets, briefing papers and presentation material, as required.Utilise the approved SCC(WA) style guide and templates for all written documentation.Schedule all Executive Committee meetings each year.Preparation of agendas, papers, attend and record minutes for the Executive Committee.Preparation of agendas, papers, attend and record minutes for other meetings, as required.Proofread all papers for meetings, working with others, as necessary.Identify and follow up actions from all meetings as appropriate.About youExtensive experience in providing executive support and assistance at a senior level.Excellent software experience with various office computer packages, e.g. Word, Excel, PowerPoint and Outlook, etc. Experience with Visio and SharePoint would be highly desirable.Demonstrated ability to proactively support a senior executive with their daily operations, including an ability to anticipate needs.Experience in organisation of meetings, including preparation and distribution of papers and taking formal minutes.Demonstrated ability to draft agendas, compile board packs and record minutes.Ability to compose and present reports and correspondence of a non-specialist nature.Strong organisational skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines.How to applyNational Police Clearance - Current within 6 months.Immunisation History Statement (FLU & COVID19).A completed pre-employment health questionnaire.Southern Cross Care (WA) Inc. is one of the largest and leading care providers in Western Australia.
