The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.About the DivisionThe Assurance, Knowledge and Executive Services Division (AKESD) has the following functions under the Assurance Branch, Knowledge, Privacy and Records Branch, and Executive and Ministerial Services Branch :
- Internal audit, VAGO audits, School Council Financial Assurance program
- Cabinet and Parliament support, including board appointments
- Freedom of Information
- Briefings and correspondence support
- Departmental Liaison Unit
- Privacy advice and support
- Records and digital content management, SharePoint and copyright advice and support
- Mail servicesThe Knowledge Privacy and Records Branch within AKESD is responsible for leading the department's management of corporate knowledge, privacy, intellectual property, and records. This accountability includes leading and supporting departmental compliance with relevant legislation and standards.About the RoleThe department is responsible for ensuring its large collection of hardcopy records are managed in accordance with the Public Record Act 1973.The School Records Reform Program is a large and complex statewide program of work including projects to retrieve catalogue, digitise, archive, preserve and transfer school records to Public Records Office Victoria (PROV) approved commercial storage facilities and the State Archives. Part of the program will be delivered in partnership with a contracted service provider and involve teams providing archiving services to schools across the state.The Team Leader Schools Archiving Project will play a critical role in leading a team to classify and transfer school records from more than 1500 government schools to PROV-approved commercial storage facilities.The Team Leader Schools Archiving Project is responsible for :
- leading, supervising and managing the activities of a team of Records Management Officers who travel to schools to process school records for archiving
- effective stakeholder communication and productive team engagement
- ensuring team members have the expertise to provide contemporary advice on records management practices in complex school environments
- identifying workplace hazards and assess and control risks by providing information and training for team members so they can work safely
- working in a collaborative partnership with a contracted service provider
- working collaboratively with colleagues to support digitisation of permanent records and transfer to PROV
- ensuring effective and timely project delivery, preparing reports that support decision-making and oversight
- identifying efficiencies and managing risks and issues
- provide key strategic and operational support to the Program Manager School Records Reform Program
- support the continuous improvement of the department's records management practices and processesPlease note that the records management officers' roles that report to the team leader involve manual handling, including lifting and packing boxes and manoeuvring trolleys to move and retrieve boxes of records from temporary storage locations. This position generally requires on-site presence, based at 2 Treasury Place, East Melbourne and at times will also require working at the department's off-site storage service provider in Altona. This position may also require travel to metropolitan and regional areas in Victoria.
